Mass Grading Estimates: How to Account for Shrink, Swell, and Trucking

Mass grading estimates fail in predictable ways. Not because estimators don't know dirt - but because the three variables that matter most (shrink, swell, and trucking) are almost always treated as afterthoughts rather than as the primary cost drivers they actually are.

Shrink and Swell: The Variables That Eat Your Margin

Shrink and swell describe how soil volume changes as it moves from its natural state to excavated to compacted. A cubic yard of bank-measure clay doesn't stay a cubic yard once it's in the truck (swell) or once it's compacted in a fill (shrink). Misapplying these factors - or applying a generic 10% without reading the geotech report - is how contractors overbid or underbid earthwork by six figures.

  • Sand/gravel: typical swell 10–15%, shrink 5–10% - relatively predictable
  • Clay soils: swell up to 30%, shrink up to 15% - highly variable by moisture content
  • Rock: swell 30–40% - often dramatically underestimated by estimators without rock experience
  • Organic material (topsoil): shrink 20–35% - a major factor on sites with deep organic layers

Cut-to-Fill Balancing

Before pricing a single truck, a disciplined estimator runs the cut-to-fill balance to determine whether the site is import-heavy, export-heavy, or roughly balanced. This single calculation determines whether your trucking line is a cost or a revenue item - and by how much.

A site that looks balanced on the plan sheet can be 15,000 CY out of balance once shrink factors are applied. If you miss that in estimating, you're absorbing the import cost in the field.

Trucking Logistics: The Most Under-Estimated Line Item

Trucking cost on a mass grading job is driven by three variables: haul distance, cycle time, and truck payload. Most estimators price a flat $/CY rate and move on. The problem is that a $3.50/CY number that works for a 500-foot haul becomes a $7.00/CY number when material has to move a half-mile across a split-phase site.
